1. Scope
This policy explains how CÔNG TY TNHH PRIME CLUB, the owner and operator of BuildLink AI, processes data when you visit the website, request access, use the BuildLink AI application, and use related AI features.
2. Data that may be processed
The website may temporarily process technical request information, such as a hashed network address, to rate-limit repeated submissions and protect the form. This information is not included in the demo request content.
- Account and contact information: your name, email, phone number, profile image, role, profile information, and authentication data you provide.
- Website demo requests: your name, work email, company and phone number if you choose to provide them, area of interest, and contact consent.
- Project data: project names, addresses, members, shift reports, records, documents, images, video, audio, and content you enter.
- Device and technical data: device platform, installation or device identifiers, push tokens, and technical logs needed for sign-in, notifications, security, and troubleshooting.
- Field location and weather: coordinates, an address derived from location, and weather data when you allow location access for reporting.
3. Device permissions
BuildLink AI requests a permission only when it is needed for the relevant feature. You can decline or revoke permissions in device settings; related features may then be unavailable or incomplete.
- Camera and photo/video library: capture, select, upload, or save project report media when you choose to do so.
- Microphone and speech recognition: record audio, transcribe speech, or send audio for AI processing when you use those features.
- Location: attach field context to images and reports and obtain weather for the current area. The application does not request background location on Android.
- Notifications: receive updates about your account, projects, reports, and records.
4. How data is used
Information is used to respond to requests, authenticate accounts, operate projects, assign member permissions, synchronize reports, deliver notifications, and provide AI features that you choose to use.
Data from a project is used within that project and according to the relevant access permissions. Project data is not automatically added to a global AI dataset. If data is later used to improve global AI capabilities, BuildLink AI will do so only with appropriately anonymized, standardized, and separately approved data under a suitable consent mechanism.
BuildLink AI does not sell personal data or use your personal data or location for advertising.
5. Data sharing and supporting services
Project content may be visible to other members of the same project according to their roles and permissions. Outside that scope, BuildLink AI transfers only the data needed by providers that support the feature you use.
- Supabase: authentication, database, and file storage.
- Firebase Cloud Messaging: push notifications to devices.
- OpenAI: AI chat, speech-to-text, image analysis, and document analysis when you actively request those features.
- Open-Meteo and operating-system location services: weather or location descriptions derived from coordinates.
- Zalo ZBS and eSMS when enabled as a fallback: the phone number and verification code needed to send an OTP.
- The demo intake channel configured for the website: the form information you submit so the BuildLink team can respond.
When AI processing is requested, BuildLink AI may send relevant content, images, audio, or a temporary document copy to OpenAI. Data is limited to the requested feature, and temporary files are deleted after processing to the extent supported by the system.
6. Security, retention, and your rights
BuildLink AI uses secure connections, account authentication, secure device storage for sessions, project-member permissions, Row Level Security, and time-limited file links to reduce unauthorized access. No measure can guarantee absolute security; you should protect your credentials and share project access only with appropriate people.
Data is retained for as long as needed to operate the service, preserve shared project history, maintain security, resolve disputes, or meet legal obligations. When an account is deleted, personal data is deleted or anonymized under the deletion process; some shared records may be retained in a controlled manner to preserve project history.
You may ask to access or correct your information, or request account and data deletion through an official contact channel or the Data deletion page.
